Payment & Cancellation Schedule
Payments
- Registration fees plus Travel Package deposits of $2,000 per person are due at the time of registration.
- A further deposit of $4,000 per person is required by 1 July 2025.
- The balance of the Travel Packages will be due no later than 31 December 2025.
Note: If registering after 31 December 2025, the full amount of the Registration Fees and Travel Packages is payable immediately.
Cancellation Fees
- If you cancel on or prior to 1 July 2025 you will forfeit $150 per person for administration fees (plus GST).
- Cancellations made on or after 1 July 2025 will incur a forfeiture of deposits paid.
- Cancellations made on or after 1 January 2026 will result in a maximum cancellation fee of 100% of conference and travel package costs and loss of registration fees.
Refunds will not be made on unused portions of the package.
Any extension travel bookings made in addition to the official conference travel package will be governed by the terms and conditions of the operator supplying those services.
Travel insurance is highly recommended should you need to cancel your trip due to unforeseen circumstances. Please ensure that you read any disclosure statements with regard to COVID-19 and pandemic cover.
Authority
You accept that in the event of an accident, disaster or emergency being reported to have occurred in a country where you will or may be traveling, you authorise us to disclose to the Australian Government Department of Foreign Affairs and Trade details of your itinerary (including without limitation, transport and accommodation arrangements) and your contact details within Australia and overseas.
Privacy Statement
Data collected on this registration will be used by PSA and its agent to provide information necessary to service providers such as hotels, airlines, tour operators and any other organisations deemed necessary to deliver the full travel and conference program as outlined. This data may also be used in accordance with PSA’s Privacy Policy (available on the PSA website www.psa.org.au).
Special Notes
It is the responsibility of each person to ensure that they have a valid and current passport and that it has at least six (6) months validity from your expected date of return to Australia. If you are traveling on passports other than Australian or New Zealand you must have an Australian re-entry Permit. The Pharmaceutical Society of Australia and the operator will not accept responsibility for the currency or validity of your travel documentation.
Travel Insurance
It is ESSENTIAL that attendees consider travel insurance and this should be taken out at the time of booking. Like all forms of insurance there are a wide variety of options available from various companies. What is suitable for one could be quite inappropriate for another. Attendees should carefully consider these options and make the selection most relevant to their circumstances.
Travel insurance is available from PSA Travel or your insurance agent. Policy options will be sent to you with the confirmation of your booking.
Note: It is rare that any travel insurance will cover disinclination to travel in the event of terrorist incidents any pandemic declared at the time. If you cancel for this reason, you will be liable for the full published cancellation fees as outlined in the terms and conditions on your registration form.
If you have taken out your own travel insurance, please ensure it is valid for this particular journey. If in doubt, please check with your insurance provider.
Should a Force Majeure situation occur in the weeks leading up to travel making it impossible for the either the suppliers or the organisers to continue to operate the tour, options will be offered.

Visa Requirements - Japan
Australian and NZ citizens do not require a visa to visit Japan for a stay of up to 90 days for tourism, business or transit.
Visa Requirements - Mongolia
Australian and NZ citizens do not require a visa to visit Mongolia for a stay of up to 30 days for tourism purposes.
